Job Summary:

The Media Coordinator provides broad assistance for the successful implementation of the ASPCA’s communications function, with a strong focus on, but not limited to, media communications. This position will include drafting and writing of communications.

This position also performs some administrative tasks, including, but not limited to, scheduling meetings, checking and responding to pressline telephone/e-mail messages as requested, collating press clips, etc. Candidate must possess strong writing skills and be able to multitask in a fast-paced environment.

Job Responsibilities:

Day-to-day responsibilities include, but are not limited to:

  • Assist Senior Manager and Manager(s) in the execution of communications duties as assigned, including but not limited to, drafting, editing and distributing press releases, media/photo advisories, calendar listings, public service announcements, articles for newsletter and website, social media, letters to editors; developing press lists; conducting research, etc.
  • Compose, type, proofread, distribute and copy materials including memos, newsletters, meeting agendas/minutes, reports and other documents, as required
  • Assist Internal Communications with writing assignments and updates to the ASPCA Intranet
  • Develop and maintain relationships with external audiences, both media and non-media, to convey the ASPCA’s message
  • Coordinate specific PR tasks and/or events with other departments under supervisor’s guidance
  • Research animal welfare industry and related issues to maintain a current knowledge base
  • Monitor media to report coverage that affects the ASPCA, its programs and partners; create and disseminate monitoring reports
  • Coordinate production/distribution of material with other ASPCA departments as needed
  • Create, update and maintain press kits, media lists and media materials, as required
  • Serve as a point of contact for media and non-media inquiries alike for various ASPCA staff, as required
  • Log/archive press clips, media interviews and media outreach
  • Update and maintain project checklists, timelines, etc., and assist in the creation of business documents such as charts and tables, PowerPoint presentations, etc.
  • Assist with the preparation and distribution of plans, agendas, minutes, reports, etc., and provide secondary or tertiary support to other team members, as required
  • Participate in Media & Communications departmental meetings and work cross-functionally with other members of the team
  • Maintain files on a variety of subjects including, but not limited to, inter- and intra-departmental projects, news releases, etc., and other administrative duties as assigned
  • Communicate and report to supervisor on consistent and regular basis
  • Projects and responsibilities may be added or changed at supervisor’s discretion
  • Willing to be available as emergency contact after business hours, on holidays and weekends, as required, which includes being available via mobile 24/7

Education:

  • BA, BS in communications or related field
  • Internship in communications or related field a plus

Experience:

  • Two-to-three years related experience in the practice of public relations and/or communications required
  • Clerical/admin skills and experience a must
  • Public relations agency experience a plus

Knowledge Requirements:

  • Knowledge of fundamental public relations principles, procedures and applications
  • Ability to follow and report on animal welfare trends reported in the media
  • Knowledge of and experience with social media
  • Knowledge of and experience with IBM-compatible computers, word processing software, and other office equipment
  • Working knowledge of MS Office Suites, including Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Knowledge of AP Style
  • Knowledge of media research software such as Vocus, Lexis Nexis/Factiva/FNS, etc.
  • Working knowledge of Internet resources
  • Understanding of the ASPCA’s mission, programs, policies and positions

  • Must possess strong written and oral communications skills, including the ability to draft press releases, memos, and other communications, and clearly express thoughts to others and exchange information
  • Strong work ethic, creativity and passion for field
  • Ability to work effectively on an intra- and inter-departmental level
  • Ability to multi-task, work under pressure, and on multiple deadlines
  • Ability to maintain confidentiality of files or other documents
  • Ability to work effectively on an intra- and inter-departmental level
  • Proficiency in word processing and database computer programs, as above
  • Ability to work independently
  • Outstanding time management and organizational skills, and the ability to prioritize and multi-task
  • Ability to take direction, work rapidly and meet deadlines under pressure
  • Ability to maintain good working relationship with the public, employees, and department staff
  • Ability to conduct photography that meets standards for publication or other media use a plus

Training Requirements:

  • Appropriate FEMA/ICS training courses

Additional Information:

  • Must be a legal resident of the United States and be able to provide proof of authorization to work in the United States
  • Ability and willingness to work flexible hours, long days and weekends, if required
