Job Summary:
The Director of Operations is responsible for directing the administrative aspects associated with development operations, ensuring the quality of donor data housed in the ASPCA’s database of record. The position is responsible for ensuring the accuracy of donation information, constituent information, financial reporting and data integration of the ASPCA’s multi-channel direct response program. The Director also works closely with the ASPCA’s Internal Audit and Finance departments, helping resolve any reporting discrepancies or control issues, and collaborates with the larger Analytics and Direct Response teams to guide and improve fundraising strategy.
Job Responsibilities:
- Ensures that the ASPCA’s donor database remains accurate for both financial audits and donor selection for fundraising appeals.
- Provides management oversight of gift processing and financial and technical aspects of
the donor database, and provides direction to establish priorities and service requirements;
- Recommends process redesign and controls(e.g., workflows, documentation, standard processes) to improve practice efficiency as it pertains to database record entry, reporting, audit compliance and maintenance for internal and external users;
- Serves as development department expert resource regarding best practices of data management and donation handling;
- Conducts quality control reviews to ensure compliance of controls by relevant development staff and external vendors;
- Tracks improvement efforts internally for task completion, assignment and follow up;
- Manages relationship with external caging and cashiering and donor database partners;
- Works closely with key development stakeholders to integrate diverse donor information, including but not limited to Interactive Marketing.
Education:
- College Degree
- Master’s Degree preferred
Experience:
- Ideal candidate will have prior experience working with large and complex fundraising programs; experience with multi-channel marketing, DRTV and restricted and unrestricted gift processing preferred.
- Extensive experience managing data integrations.
- Project management experience required, including demonstrated ability to identify and anticipate obstacles, respond accordingly, meet multiple deadlines, foster relationships and communicate effectively and efficiently with colleagues and external contacts, including vendors.
- Demonstrated knowledge and experience in the use of business and systems tools needed to support the efficient management of development operations.
- Prior experience with credit card processing and PCI compliance certification a plus.
Knowledge Requirements:
- Knowledge of non-profit fundraising, preferably in a highly complex environment within a large non-profit or higher education organization.
- Ability to create reports and communicate findings on trends, performance and objectives in a clear, concise manner.
- Strong interpersonal and communication skills to work effectively in a dynamic organizational environment.
- Prior experience working with finance departments to report on revenue, identify and reconcile discrepancies.
- Strong attention to detail and desire to investigate problems to identify and rectify underlying causes.
Skills Requirements:
- Experience fundraising in a non-profit environment
- Knowledge of PIDI, Raiser’s Edge, or similar donor database
- Professional demeanor
- Organized and detail oriented
- Excellent phone, writing and interpersonal skills
- Comfortable in a fast paced environment
- Ability to multi-task and prioritize and manage time well
- Comfort delegating tasks and supervising staff
